Vet Mate Tech Pty Ltd ("VetMate", "we", "our", "us") is committed to protecting the privacy of our users. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our website and application at vetmate.io and portal.vetmate.io.

By using VetMate, you agree to the collection and use of information in accordance with this policy.

  • Account information: name, email address, clinic name, and billing details when you register for VetMate.
  • Clinical data: patient records, anaesthetic monitoring data, and PDF reports created using VetMate. This data belongs to you and your clinic.
  • Usage data: information about how you use VetMate, including log data, browser type, IP address, and pages visited.
  • Communications: any emails or messages you send to us.

3. How we use your information

We use the information we collect to:

  • Provide, maintain, and improve the VetMate service
  • Process payments and manage your subscription
  • Send you service-related communications (account updates, invoices, support responses)
  • Respond to your enquiries and provide customer support
  • Detect and prevent fraud or unauthorised access
  • Comply with legal obligations

We do not sell, rent, or share your personal information or clinical data with third parties for marketing purposes.

4. Data storage and security

VetMate is hosted on Australian servers. All data is encrypted in transit (TLS 1.2 or higher) and at rest (AES-256). We implement industry-standard security measures to protect your data against unauthorised access, alteration, disclosure, or destruction.

Access to your data is restricted to authorised Vet Mate Tech staff on a need-to-know basis. We conduct regular security reviews and maintain backups of all data.

5. Data retention

We retain your account and clinical data for as long as your account is active. If you cancel your subscription, we retain your data for 30 days to allow for reactivation. After 30 days, your data is permanently deleted from our systems, except where we are required to retain it by law.

6. Third-party integrations

When you connect VetMate to third-party services such as Covetrus or Petbooqz, data is exchanged between VetMate and those services in accordance with your instructions. We recommend reviewing the privacy policies of those services. We are not responsible for the privacy practices of third-party services.

7. Cookies

VetMate uses cookies to maintain your login session and improve your experience. We do not use cookies for advertising or cross-site tracking. You can control cookies through your browser settings, though disabling certain cookies may affect VetMate's functionality.

8. Your rights

Under the Australian Privacy Act 1988, you have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your data
  • Lodge a complaint with the Office of the Australian Information Commissioner (OAIC)
