VetMate + Petbooqz integration overview

The VetMate + Petbooqz integration connects your practice management system directly to VetMate's anaesthetic monitoring tool. Patient data flows in automatically when you start a new record, and the completed anaesthetic report is sent back to the patient file in Petbooqz when you're done.

The result: no double-entry, no copy-pasting, and a complete clinical record without any extra admin.

Available on: The Clinic plan and above. The integration is not available on the Solo plan.

Prerequisites

Before setting up the integration, make sure you have the following:

  • An active VetMate Clinic (or Multi-clinic) plan
  • An active Petbooqz account with administrator access
  • Your Petbooqz API key (found in Petbooqz under Settings → Integrations → API access)
  • Your VetMate clinic set up with at least one user
Tip: If you're not sure how to find your Petbooqz API key, contact Petbooqz support — they can walk you through it in a few minutes.

Connecting the integration

Setup takes about 15 minutes and only needs to be done once.

Open VetMate clinic settings

Log in to VetMate at portal.vetmate.io, then go to Settings → Integrations.

Select Petbooqz

Click Connect next to the Petbooqz integration tile.

Enter your Petbooqz API key

Paste the API key from your Petbooqz account into the field provided. Click Verify connection.

Map your clinics

If you have multiple Petbooqz locations, select which Petbooqz clinic corresponds to your VetMate clinic.

Test the connection

Click Run test. VetMate will pull a test patient record from Petbooqz to confirm the connection is working. If the test passes, you're done.

Connection failed? Check that your API key is correct and that your Petbooqz account has integration permissions enabled. See the troubleshooting section below.

How the integration works

Once connected, the integration runs automatically in the background. Here's what happens:

  • When you start a new anaesthetic record in VetMate and search for a patient, results are pulled live from Petbooqz — including name, species, breed, weight, and medical history.
  • You select the patient and the record is pre-populated. No manual entry needed.
  • The procedure and attending vet are pulled from the scheduled appointment in Petbooqz (if one exists for today).
  • When you complete the anaesthetic record, VetMate automatically generates the PDF report and attaches it to the patient's file in Petbooqz under the relevant appointment.
  • The anaesthetic record also appears in Petbooqz's clinical notes history for the patient.
Note: Patient data syncs one way — from Petbooqz to VetMate at the start of a record. Changes made to a patient's details in Petbooqz after the record has started will not automatically update in VetMate.

Starting a record from Petbooqz

With the integration enabled, you can also launch a VetMate record directly from a Petbooqz appointment.

  1. Open the appointment in Petbooqz.
  2. Look for the VetMate button in the appointment actions panel (this appears once the integration is active).
  3. Click Start anaesthetic record in VetMate. You'll be taken directly to a pre-populated VetMate record for that patient and appointment.
Tip: If you don't see the VetMate button in Petbooqz, make sure the integration is active in VetMate settings and that the VetMate integration is also enabled in your Petbooqz account under Settings → Integrations.

Completed records in Petbooqz

When you complete an anaesthetic record in VetMate, the following happens automatically in Petbooqz:

  • A PDF copy of the full anaesthetic report is attached to the patient's appointment file.
  • A clinical note is added to the patient's history with a summary of the anaesthetic (date, procedure, attending vet, anaesthetic duration, notable events).
  • The appointment status in Petbooqz is updated to reflect that an anaesthetic record has been completed.

You can find these records in Petbooqz by opening the patient's file and navigating to Clinical history → Anaesthetic records.

Troubleshooting

The connection test fails with "Invalid API key"

Double-check that you've copied the full API key from Petbooqz — it's easy to accidentally miss the first or last character. Also confirm that API access is enabled for your Petbooqz account (Settings → Integrations → API access).

Patient records aren't appearing when I search

Make sure the integration status in VetMate shows as "Connected" (green). If it shows as "Disconnected", re-enter your Petbooqz API key. Also check that the patient exists in Petbooqz and is assigned to the correct clinic location.

The completed PDF isn't appearing in Petbooqz

Allow up to 2 minutes for the PDF to sync after completing the record. If it hasn't appeared after 5 minutes, go to VetMate Settings → Integrations and click "Re-sync pending records". If the problem persists, email us at info@vetmate.io.

The VetMate button isn't showing in Petbooqz

The VetMate button in Petbooqz is enabled from the Petbooqz side. Go to your Petbooqz account → Settings → Integrations → VetMate and confirm it's toggled on. You may need Petbooqz administrator access to do this.
